Thistle Guard Bookkeeping — Terms of Service

These Terms of Service (“Terms”) outline the agreement between Thistle Guard Bookkeeping (“Service Provider,” “we,” or “our”) and the Client (“you” or “your”) for bookkeeping and related financial services. By engaging our services, you acknowledge that you have read, understood, and agreed to these Terms.

1. Scope of Services

Thistle Guard Bookkeeping will provide bookkeeping services as agreed upon in the signed proposal, service agreement, or onboarding form. Services may include, but are not limited to:

Monthly or weekly bookkeeping

Categorization and reconciliation of transactions

Financial reporting

Accounts payable/receivable tracking

Payroll coordination (if applicable)

Clean-up or catch-up bookkeeping

Additional services as outlined in your selected package

Any services outside the agreed scope may incur additional fees.


2. Client Responsibilities

To deliver accurate and timely bookkeeping, the Client agrees to:

Provide complete and accurate financial information, including bank statements, receipts, invoices, payroll data, and other documents.

Grant required access to financial platforms (banking, accounting software, payroll systems, merchant accounts, etc.).

Respond to information requests within a reasonable timeframe.

Maintain accurate records and comply with all legally required filings outside the scope of our services.

Thistle Guard Bookkeeping is not responsible for delays caused by incomplete or late information from the Client.


3. Fees & Payment Terms

All fees are due according to the agreed billing schedule (monthly, weekly, or per project).

Payments are required in full and on time to avoid interruption of services.

Late payments may incur additional fees or result in suspension of services until the account is brought current.

Clean-up, historical work, or additional projects are billed separately unless otherwise stated.

No refunds are provided for services already rendered.


4. Term & Termination

Services will begin on the start date listed in the onboarding form or proposal.

Either party may terminate this agreement with 30 days’ written notice.

Upon termination, all outstanding invoices must be paid before final document delivery.

Thistle Guard Bookkeeping is not required to provide financial reports, reconciliations, or documents for unpaid periods.


5. Confidentiality

We take confidentiality seriously. All financial information, documents, and communications will be kept strictly confidential and used solely for the purpose of providing agreed services.

We do not sell or share your information with third parties except as required to fulfill services (e.g., accounting software platforms) or as legally required.


6. Accuracy & Limitations

Thistle Guard Bookkeeping relies entirely on the information you provide.

We are not responsible for errors resulting from incomplete, inaccurate, or delayed documentation.

We do not provide tax filing, legal advice, or CPA-level services unless explicitly contracted.

Financial decisions are the responsibility of the Client; our reports are for informational purposes.


7. Liability

Thistle Guard Bookkeeping will exercise reasonable skill and care in performing services. However:

We are not liable for financial losses, penalties, tax issues, or damages arising from your business decisions, incomplete information, or third-party actions.

Our total liability is limited to the fees paid for services in the 90 days preceding any claim.


8. Software & Access

The Client is responsible for maintaining active subscriptions to any required accounting software unless otherwise specified. Delays caused by software access issues are not the responsibility of Thistle Guard Bookkeeping.


9. Communication

Our primary communication methods include email, scheduled calls, and secure file upload portals. Response times may vary but are generally within standard business hours Monday–Friday.


10. Governing Law

These Terms are governed by and interpreted according to the laws of the state in which Thistle Guard Bookkeeping operates, without regard to conflict-of-law principles.


Acceptance of Terms

By starting services, making your first payment, or submitting onboarding information, you acknowledge and agree to these Terms of Service.
